What changes when your AI assistant runs your CRM

Rustam SaidovOctober 17, 20265 min read
A steel chat bubble unfolding into the stages of a sales pipeline, on a navy background, with the headline The CRM your AI assistant runs.

Key takeaways

  • The weak point of most CRMs is the update, not the feature list: 76% of CRM users say less than half of their CRM data is accurate and complete (Validity, 2025).
  • In an agentic CRM the assistant you already use becomes the interface. It logs the call, moves the deal and sets the reminder, and it answers with reports, charts and briefs built from live data.
  • The choices that make it safe: a separate database for each company in the EU, an assistant that sees only what you see and connects only with your approval, and no AI credits on top.

The biggest change in CRM right now is not a new feature. It is who does the typing, and where you read the answers.

For twenty years the deal has been the same. You sell, then you sit down and feed the CRM: the note from the call, the stage of the deal, a reminder for next week. Most people do it late, do half of it, or skip it. So the system that should know everything about your customers knows a little less every week.

The numbers say this is the norm, not a discipline problem:

  • Sellers spend about 40% of their time actually selling. The rest goes to admin, research and manual data entry. (per Salesforce, State of Sales, 2026)
  • 76% of CRM users say less than half of their CRM data is accurate and complete, and 37% say poor data has already cost them revenue. (per Validity, 2025)

Meanwhile people already have a new place where they work. In Microsoft and LinkedIn's survey of 31,000 knowledge workers, 75% were using AI at work, and 78% of them had brought their own tools (per the 2024 Work Trend Index). The assistant is already open on the screen. The CRM is the tab nobody wants to open.

The interface moves into the assistant you already use

An agentic CRM starts from that fact. Instead of asking people to go to the CRM, it brings the CRM to the assistant. This is not a CRM with AI bolted on as a paid add-on. It is a CRM your assistant knows how to use.

AIXEL CRM works with Claude, ChatGPT, Microsoft Copilot and other assistants that support the open standard for connecting apps. You paste one address, approve the connection, and two minutes later your assistant can search, read, update and plan inside your CRM, with your own permissions. No plugin to install, no integration to maintain, no extra AI subscription.

The CRM is still there, and it is a complete one: contacts and companies, a pipeline you drag across stages, tasks, a calendar, a dashboard, a version for the phone. You just no longer have to live in it.

What a working day looks like

After a call. "Just spoke with Marco Rossi at Acme: they want a proposal for all three sites. Let's talk again on Tuesday." The assistant adds the note to Marco's record, moves the deal to Proposal and sets a reminder for Tuesday at 10:00. Thirty seconds, typed or dictated.

Finding things. "Which deals have been stuck for more than two weeks?" You get the list, with the last activity on each one and who owns it. No filters, no saved views.

Reports and dashboards. "Show me the pipeline by stage for this quarter, as a chart." The assistant queries live CRM data and draws the chart right in the conversation. The follow-up comes straight away: "Only deals above 10,000. Now compare with last quarter." This is where the change is easiest to see. A report used to be a request to someone. Now it is a sentence.

Before a meeting. "Brief me for tomorrow's meeting with Studio Bianchi." Company history, open deals, the last notes, what was promised. Need three slides for Monday's sales review? Ask for three slides, and your assistant builds them from the same data.

Across your tools. Connect the CRM next to your mail and calendar, and one instruction covers all of them: "Draft a follow-up to everyone I met last week, using the notes on each deal." The CRM brings the context, the calendar brings the meetings, the assistant writes the drafts. You read them and press send.

From records to insight

A CRM full of records is a database. A CRM your assistant can reason over is closer to an analyst who has read every note.

Ask where deals stall, and why. Ask which sector converts best, which clients have gone quiet, what the forecast looks like if the two largest deals slip by a month. The answer comes from your own data, in plain language, with the numbers behind it. And because the assistant can act, the next step sits in the same conversation: "Set a follow-up task for each of those."

The quality of those answers depends on the data. That is the point of the whole design. When updating the CRM is as easy as telling someone what happened, the data stays current, and the insight is worth something.

Gartner makes the same point from the other side. It expects AI agents to outnumber sellers ten to one by 2028, yet fewer than 40% of sellers to say agents made them more productive. Agents, in the words of its analyst, "are only as effective as the systems they operate within" (per Gartner, as reported by destinationCRM, 2026). More agents on top of a stale CRM just scale the mess. One system that stays current is what makes them useful.

Built so that your data stays yours

An assistant inside your customer data only works if the boundaries are clear. We made four choices on purpose:

  1. A database of your own. Every customer gets an isolated database, never a shared one. Many vendors keep that for enterprise plans. Here it is the standard.
  2. In the European Union. The database is in Frankfurt and the application runs on servers in Germany, with encrypted connections and daily backups.
  3. Your assistant sees what you see. It works with the permissions of the person who connected it, and only after that person approves the connection. Disable a user, and their assistant loses access too.
  4. No AI credits. You use the assistant you already pay for. We don't resell model usage or charge per AI action. Some assistants allow outside connections only on a paid plan, and we tell you that before you start.

We run our own sales on it

AIXEL's own pipeline has lived in AIXEL CRM since the end of August 2026. Companies, contacts, deals and tasks went in by talking to the assistant, not by filling in forms. When our notes elsewhere and the CRM disagreed, the CRM turned out to be the one that was right. That is the test we built it for.

Who it is for

Sales teams, obviously. But also the consultant who works alone, the small studio, the professional who keeps clients in a spreadsheet and reminders in their head. The interface speaks Italian, English and French. We set up your CRM in a day, at yourname.crm.aixel.solutions, with the sales stages that match how you sell, and you can bring contacts and companies over from Excel or from another CRM.

The CRM is no longer the place you go to type. It becomes the memory your assistant works from.

Claude, ChatGPT and Copilot are trademarks of their owners. AIXEL CRM works with these assistants but is not affiliated with them.
